What is mail scanning?
Mail scanning is a service that digitizes your mail for online retrieval.
Some providers call their mail scanning service a “virtual mailbox” or a “digital mailroom.” Regardless of the name, you can think of it as a service that turns your physical envelope mail into digital mail.
How does mail scanning work?
At Maryland Resident Agent, our mail team securely transforms your envelope mail into PDF format that you can view, download, or print out from the privacy of your phone or computer. All your mail is handled in-house, never sent out to a third party for processing.
We’ll send you an email when you have new mail to view in your account. You can log in from anywhere you can connect to the internet to view and manage your documents.
The physical copies of your mail are then stored for 30 days. If you need the original copy, use the “click to request” feature in your online account and pay a small postage and handling fee. We’ll mail it out as soon as possible to the address you designate.
And don’t worry about junk mail—we’ll shred that free of charge, and it doesn’t count against your mail scan limit.

Our Maryland Resident Agent service operate in full compliance with U.S. Postal Service requirements as a registered Commercial Mail Receiving Agency (CMRA). To ensure only authorized mail providers handle your business mail, the USPS requires a completed Form 1583 from every client. This verification process helps protect your mail and guarantees you’re working with a secure, legitimate service.
Getting started is simple! After signing up for our resident agent service and choosing one of our mail service packages, you’ll be taken into your online account to answer a few questions. Our team handle the filing and processing of Form 1583 for you, so your mail service is set up correctly from the start.
How to Complete USPS Form 1583
After signing up for mail service, just login to your Maryland Resident Agent online portal. You’ll find Form 1583 ready to fill out digitally. Don’t worry about finding a notary. As a CMRA, we’ll handle your 1583 authentication via our in-house verification process. If you have any questions or need help accessing your account, our team is happy to help via phone or email.
What You’ll Need for Form 1583
To complete Form 1583, you’ll need to provide:
- Your full name and residential street address
- A copy of your photo ID
- A secondary proof of address
- Your digital signature
This information is used only by the U.S. Postal Service to verify your identity and authorize mail delivery through our CMRA service. Your details remain private and secure at all times.

Is mail scanning safe?
Yes, mail scanning is safe, and we take the security of your mail very seriously. Your documents are opened and scanned in a secure facility using our own protected systems, and mail handling is carried out by experts we’ve hired, not just a third-party service with whom we contract.
Can I get mail physically forwarded to me?
Yes, we can physically forward your mail for $9 plus postage. Just login to your online account, select the documents you’d like mailed out to you, then press “Click to Request” to fill out the forwarding information and take care of the postage fee.
What happens if I exceed my mail package limit?
When mail scans exceed your plan limit, you’ve got a couple choices:
You can upgrade your plan to another tier:
- Deluxe Mail Scanning Service is $99/year and provides an additional 25 scans
- Virtual Office Service is just $19/month and includes unlimited scans.
If it’s just a couple extra one-off documents, and you’re close to the end of your service year, you can always pay the $15 per document fee to unlock them.
Can I have packages sent to my Mail Scanning Service address?
We are not set up to receive packages, our mail scanning and virtual office services are for envelope mail only. Our current policy is to return all packages to sender.
Do I have to fill out the Form 1583 to get your resident agent services?
No, you will not have to fill out and submit Form 1583 if you just want our resident agent services. As a state certified resident agent service provider, we are allowed to receive legal and state notices on your behalf. In order to be able to receive your mail outside of those two sources, what we call “regular mail,” the USPS requires the Form 1583 for each of our Mail Scanning and Virtual Office Service clients.
Can I pick up my mail from your building?
Sorry, we don’t offer mail pick-up service in order to provide the highest security for both your mail and our staff.
